RENTAL VEHICLES - ADDITIONAL INSURANCE/WAIVER OPTIONS POLICY

PURPOSE

The purpose of this policy is to inform University employees of the variety of additional waivers and/or insurance coverage that may be purchased when obtaining vehicles from commercial rental agencies and explains to the traveler which of these are reimbursable under business travel.

SCOPE

This policy applies to all University employees, including those on the regional campuses.

POLICY

Travelers obtaining vehicles from a commercial rental agency may be offered the opportunity to purchase additional waivers and/or insurance coverage at a nominal cost. Requests for reimbursement of these additional costs will be as follows:

Loss Damage Waiver 1. Not required if traveler obtains vehicle using WVU corporate travel card (currently Diners Club).

2. Reimbursable for rentals of 7 days or less when vehicle is not obtained by using WVU corporate travel card.

3. Not reimbursable for rentals of 8 days or more (State Insurance automatically applies).

Additional Liability Not reimbursable.
Personal Accident Not reimbursable.
Personal Effects Not reimbursable.
Other insurance or like products Not reimbursable unless required by law.

When the traveler is not using his/her WVU corporate travel card to rent the vehicle, the Loss Damage Waiver should be taken when renting a vehicle for seven days or less unless it is included in the rental agreement. This is a reimbursable expense.

Full coverage insurance is a reimbursable expense for any approved rental vehicle outside of the United States.

PROCEDURE

Procedure development rests with Business Services.

RESPONSIBILITY FOR IMPLEMENTATION

All employees are charged with providing full support to this policy. It is the responsibility of the Dean or Director to implement and maintain this policy within their college, department, or unit. Business Services, at 293-4001 or P.O. Box 6001, is available to answer questions or provide additional information regarding this policy.

RESPONSIBILITY FOR INTERPRETATION

The responsibility for interpretation of this policy rests with the Director of Business Services, West Virginia University.
