The purpose of this organization shall be:
  • Represent the Saudi students' community and link it with the WVU community.
  • Introduce civilization, history, and heritage of Saudi Arabia to the West Virginia University through participating in the university international programs and activities.
  • Assist SSA-WVU members to strengthen the social bonds.
  • SSA-WVU has not tendencies, affiliations, or goals toward politics.
  • Present Islamic principles in its activities.

The SSA-WVU is an on-campus students' organization whose objectives and operating procedures conform to the regulations of West Virginia University's Student Organization Services.

The SSA-WVU shall serve as a chapter of the Saudi students' clubs and educational centers in cultural mission of Saudi Arabia to the U.S.A. under supervision of the Royal Embassy of Saudi Arabia in Washington, DC at the following address:

MEMBERSHIP

Section (1) The SSA-WVU will not deny membership on the basis of race, sex, color, age, disability, veteran status, religion, sexual orientation, color, national origin, or political affiliation.

Section (2). The voting membership of SSA-WVU shall be limited to SSA-WVU members who are WVU students.

Section (3) Membership Categories, Rights, Responsibilities, and Dues

Members must not be on academic/disciplinary probation.

1-        Active member: Any Saudi student at WVU and his/her spouses and children are eligible to nominate, run, and vote in elections.  Active members are subject to an annual membership fee, which they are $ 25 for singles and $ 50 for married students.
2-        Associate member: Anyone from Saudi Arabia who reside in Morgantown, WV and he is a non-WVU student. There is no fee for this type of membership. An associate member is not eligible for nomination, voting, or electing.
3-        Honorary Member: Any individual or organization of the West Virginia University community who has willingly and personally applied for the membership and been approved by the Executive committee. An honorary member is not eligible for nomination, voting, in the election. There is no annual fee for this type membership.

OFFICERS

Officers:
"        must be a WVU student and have no less than one-year scholarship from the government of Saudi Arabia to study at West Virginia University.
"        must maintain a 2.00 (C) cumulative GPA at the time of election or appointment, and during their entire term of office must be full-time students.
"        may not be on academic or disciplinary probation during their term of office.
"        should begin their duties starting from first week of May to last week of April.

Section 1. General Society.

It consists of all active paid members and the membership is limited to the West Virginia University. General Society tasks consist of:
1-        Elect officers for the Executive committee.
2-        Review and discuss the financial expenses and incomes.
3-        Review and discuss the periodical reports of the SSA-WVU activities.

Section 2. Executive committee.

The Executive committee of the SSA-WVU shall be formed of eight voting members elected on annual basis to fill the eight office positions as follow:

1-        President:
a.        Sketches the plan of activities and assigns management of projects,
b.        Leads meetings of the Executive committee and the general body meeting,
c.        Follows up on execution of projects assigned to Executive committee officers,
d.        Contact the university and the cultural mission,
e.        Ensures that all activities comply to the constitution of the SSA-WVU,
f.        Presents annual report to the general body meeting,
g.        Endorses budget and expenses of the association,

2-        Vice President:
a.        Reviews budget and expenses of the SSA-WVU
b.        Coordinates activities with other organizations,
c.        Assumes the role of the president in case of absence of the latter,
d.        Assumes the role spokesperson in case of absence of the latter,

3-        Treasurer:
a.        Maintains records of all financial transactions of the SSA-WVU,
b.        Collects and deposits all funds received on behalf of the SSA-WVU under appropriate accounts in SOS of WVU, banks and financial institutions,
c.        Prepares annual budget and financial reports of the SSA-WVU,
d.        Prepares for fund raising activities,,
e.        Submits fiscal documents to appropriate authorities,
f.        Assumes the role of the secretary in case of absence of the latter.

4-        Secretary:
a.        Prepares, circulates, and maintains minutes of all the Executive committee and the general body meetings,
b.        Maintains records archive of the SSA-WVU, including members and official documents,
c.        Assumes the role of the treasures in case of absence of the latter,
d.        Prepares agenda for meetings of the committees,

5-        Coordinator of Cultural Activities:
a.        Communicate and maintains relations with media,
b.        Represents the SSA-WVU in the university's cultural activities,
c.        Arrange and organizes activities for cultural events,
d.        Coordinates cultural activities with other organizations,
e.        Works in strengthening the bonds between the students,
f.        Submits a budget and cost of any cultural event to the Executive committee,

6-        Coordinator of Physical Activities:
a.        Organize physical activities,
b.        Coordinates physical activities with other organizations in WVU,
c.        Coordinates a subcommittee for a physical activities,

7-        Coordinator of Social Activities:
a.        Contacts the new students and helps them in accommodation,
b.        Prepare a program for any social event or activity,
c.        Will be in charged to represent the SSA-WVU at WVU for social activities,
d.        Represents the SSA-WVU at the international festival at WVU,
e.        Prepares contests, prizes, teams for the holiday meetings such as Eid ulfiter and Eid uladhah,

8-        Coordinator of Women Activities:
a.        Will be in charged for organizing the activities for the female students,
b.        Coordinates subcommittees for sisters celebrations in the holidays,
c.        Prepares and organizes a cooking schedule for helping in some events related to the social activities,
d.        Assume the role of the coordinator of social activities in case of absence of the latter,

If needed, More than one activity could be incorporated under one coordinator.



MEETINGS

Section 1        General Body Meetings
-        The presence of 51% of active members shall constitute a valid regular meeting.
-        Any general body meeting should be announced seven days in advance, and the president should invite the active members by sending a written invitation for the meeting.
-        In case of presence of less than 51% of the active members, the general body meeting should be canceled and postponed to one week later from date of the canceled meeting. For the postponed meeting shall be run regardless to the number of attendants.
-        The Executive committee should inform the administration of cultural and social affairs in the Saudi embassy.

Section 2        Executive committee Meetings
-        The Executive committee shall hold a minimum of two meeting per month.
-        Emergency meetings may be called at the request of any two administrative officers.
-        The president, vice president, secretary, treasurer may call special meetings.



ELECTION

"        An election committee is appointed by a general body meeting two months prior to the election's date.
"        The election committee is responsible for the processes of the election.
"        The election committee consists of three active-members of SSA-WVU, who are not running for a position in the Executive Committee.
"        The Election Committee shall call for a nomination by contacting the all active members by the first of March and verify membership validity of nominating members as well as eligibility of nominees for nomination to run for EC positions.
"        Voting members may nominate themselves or other voting members for office in the EC.
"        Nominees should maintain a voting membership with the SSA for at least 60 days prior to nomination.
"        A candidate may refuse or withdraw the nomination without any justification
"        Each nominee should present a statement for voters of his plan if he gets nominated.
"        Nominees should refrain from negative advertisements against other nominees.
"        Elections should be well advertised by the election committee to all voting members at least two weeks prior to elections via mail, e-mails, or in the web site.
"        Election should take place in the second Monday through Friday of the month of April.
"        Elections will be in form of secret ballot and will require participation of at least 50% of registered voting members or 15 registered voting members, whichever is lesser.
"        Only active members are eligible for voting in elections.
"        Each voting member shall have one vote for no more than eight nominees.
"        In order to be considered for election or appointment as an officer, you must be an active member.
"        Every active member may run for the Executive Committee twice during his studying at WVU.


FINANCES

The president and the treasurer must open an account in a local bank in Morgantown, WV to deposit all the finances that comes from:
-        Membership fee.
-        Contributions that provided by Saudi Arabia Cultural mission.
-        Donations with no conditions.
-        Contributions from the members for the social and family activities.

SPECIAL WVU REQUIREMENTS.

This organization will adhere to the West Virginia University Code of Student Rights and Responsibilities.
